Privacy Policy

Feeling Mindful Labs LLC ("we," "our," or "us") operates PlayaOS, software that Burning Man theme camps use to run their membership, dues, shifts, and logistics. This policy explains what personal information PlayaOS collects, why, who receives it, how long we keep it, and what you can do about it.

Two roles. Each camp decides what to ask its members and how to run its roster — the camp is the controller of its members' data, and we process it on the camp's behalf. We are the controller of the account you use to sign in and of the operational records we keep to run the Service.

What we collect

Only what a camp needs to operate. Most fields are optional and camps choose which to ask for, so you may never be asked for many of these.

  • Account: your email address, and a password held by our authentication provider. We never see your password.
  • Profile: name, playa name, phone number, date of birth, home city, profile photo, short bio, social handles, t-shirt size.
  • Emergency contact: the name, phone number, and relationship of someone to contact on your behalf. That is information about another person, provided by you — please make sure they are comfortable with you sharing it.
  • Health-related details, where a camp asks for them: dietary restrictions, allergies, and whether you carry an epinephrine auto-injector. Camps collect this to feed you safely and to respond in an emergency. It is optional, visible only to that camp's organisers, and never sent to an AI assistant.
  • Camp participation: application answers, membership status and role, shift signups and skills, shelter and vehicle details, dues and payment records.
  • Communication preferences: whether you have opted in to email, SMS, WhatsApp, or push notifications.
  • Technical: IP address, browser and device information, and timestamps, recorded in server and error logs.

We do not collect payment card numbers, government identifiers such as social security numbers, or protected health information as defined by HIPAA. Card details are entered directly with our payment processor and never reach our systems.

Why we use it

  • To run the Service: sign you in, show you your camp, and process applications, dues, and shifts.
  • To send transactional messages — application updates, payment confirmations, shift reminders.
  • To let a camp's organisers administer their own camp.
  • To keep the Service secure and working: diagnose errors, prevent abuse, enforce rate limits.
  • To meet legal and accounting obligations.

We do not sell your personal information, share it with advertisers or data brokers, or use it to train AI models.

Who receives it

We share personal information only with these categories of recipient.

  • Your camp's organisers — the people running the camp you applied to or joined.
  • Infrastructure and hosting providers — to store data and serve the application.
  • Email delivery providers — to send the transactional messages above.
  • Payment processors — to collect camp dues. They receive your name, email, and the amount; card details go to them directly, never through us.
  • Error-monitoring providers — to receive diagnostic reports when something breaks.
  • An AI assistant you choose to connect — only if you connect one, and only the data described below.
  • Authorities — where we are legally required to disclose.

Connecting an AI assistant (ChatGPT and other MCP clients)

PlayaOS offers an optional connector that lets an AI assistant such as ChatGPT read and act on your camp data on your behalf. It is off unless you connect it, and you can disconnect it at any time from the assistant.

Connecting requires you to sign in and authorise access. When you then ask the assistant something that needs your camp data, it requests that data from us and we return only the fields needed to answer:

  • Public Burning Man information — events, art installations, the camp directory, the marketplace, the packing list. No personal data.
  • Your own records — the camps you belong to, your marketplace listings, your packing list.
  • Camp records, if you are an organiser — for each member: internal id, name, first and last name, email address, role, membership status, playa name, and year joined. Plus shift schedules and pending applications.

Two things to understand before connecting.

  • If you are a camp organiser, using the connector sends other members' names and email addresses to the AI provider — not only your own data. Treat it as you would exporting a roster.
  • The AI provider is an independent controller of what you send it. Once data reaches your assistant, that provider's privacy policy governs how it is handled, how long it is kept, and whether it contributes to their model training. We have no control over that. Read their policy before connecting.

The connector deliberately returns no dietary restrictions, allergies, epinephrine-injector status, dates of birth, phone numbers, emergency contacts, or photographs. Write actions — approving a member, posting a listing — require a separate confirmation step.

How long we keep it

  • While your account is active, and while your camp continues to use PlayaOS.
  • 24 months after an account is closed or a camp stops using the Service, after which we delete or de-identify it. Camps often skip a year and return, and this avoids destroying a roster meanwhile.
  • Financial and transaction records: 7 years, as accounting and tax rules require.
  • Error and diagnostic logs: 90 days.

Your choices

  • See and correct your data — most of it is editable in your profile at any time.
  • Close your account — contact us and we will close it. Closing deactivates the account immediately, so it can no longer be signed in to or used. We then delete or de-identify your personal information on request, except records we must keep — for example the financial records above.
  • Get a copy — ask and we will provide the personal information we hold about you.
  • Opt out of non-essential email — every marketing message carries an unsubscribe link. Transactional messages about your membership are not marketing and continue.
  • Disconnect an AI assistant — revoke access from within the assistant at any time.

Depending on where you live you may have further rights — access, correction, deletion, portability, restriction, objection, and the right not to be discriminated against for exercising them. To exercise any of them, contact our support page. We do not sell personal information, so there is nothing to opt out of.

Cookies

We use a small number of strictly necessary cookies. The main one keeps you signed in and identifies your session — it is personal data, and the Service cannot work without it. We do not use advertising or cross-site tracking cookies.

Security

Data is encrypted in transit and at rest. Access is restricted by role, and each camp's data is isolated from every other camp's at the database level. No system is perfectly secure, but we work to keep this one sound and to fix problems promptly.

Children

PlayaOS is not intended for children under 16, and we do not knowingly collect their personal information. If you believe a child has given us personal information, contact our support page and we will delete it.

International transfers

We operate from the United States and our providers may process data there. If you use the Service from elsewhere, your information will be transferred to and processed in the United States.

Changes

We will update this policy when the Service changes, and revise the date above. If a change materially affects how we handle your information, we will tell you before it takes effect.
